Privacy Policy

Who we are

TechReady.io is a browser-based device-readiness service operated by Online Readiness, LLC (“TechReady,” “we,” “us”). TechReady lets colleges and universities check whether a student's device, browser, and connection are ready for online coursework, and routes the results to the institution's support and retention teams.

This policy explains what we collect, how we use it, and the choices available to you. Questions: privacy@techready.io.

Two ways this policy applies

  • Institutional device-readiness scans. When your college or university uses TechReady, students run a scan that checks their device and connection. The institution directs this processing; we act as a service provider to the institution (and, where applicable, as a “school official” with a legitimate educational interest under FERPA). The institution controls this data.
  • Our public test site. Anyone can run a free device test at our public site and optionally subscribe with a name and email — a separate, opt-in flow with its own consent.

Information we collect

From institutional scans

For each scan, we collect technical information about the device and connection:

  • Network and location: IP address; geolocation derived from that IP (city, region, approximate latitude/longitude); and internet service provider.
  • Device and browser: operating system and version, browser and version, device type, screen resolution, user-agent string, and related capability checks (cookies enabled, TLS version, etc.).
  • Connection metrics: download/upload speed, latency, jitter.
  • An institution-supplied identifier. Where the institution integrates TechReady with its learning management system, each scan is tagged with a pseudonymous identifier (external_id) generated by the institution. This is not a name or email. We do not hold the key that links it to a specific student — that key remains solely with the institution.

We do not collect student names or email addresses through the institutional scan. We do not collect demographic data, and we do not collect biometric, genetic, or behavioral-tracking data.

From the public test site

If you choose to subscribe on our public site, we collect the name and email you provide, with your consent, to send you results and related information. You can unsubscribe at any time.

How we use information

  • To run the readiness scan and present results to the user.
  • To provide institutions with scan results and route alerts to their support and retention teams.
  • To maintain, secure, and improve the service, including aggregate and de-identified analysis of readiness trends.
  • For the public site only: to send subscribed users their results and updates they opted into.

We do not sell personal information, and we do not use it for third-party advertising.

How we share information

  • With your institution. Institutional scan data is made available to the institution that directed it.
  • Service providers (subprocessors). Our service is hosted on Amazon Web Services (AWS), our sole subprocessor, under AWS's data-processing terms. We do not share scan data with any other third party.
  • Legal. We may disclose information if required by a valid legal process. We do not provide data to law enforcement without a valid warrant or subpoena.

Data retention

We retain personal information only as long as needed for the purposes above, on the following schedule:

DataProposed retention
Institutional scan records tied to an active clientDuration of the agreement, then deleted or irreversibly aggregated within 90 days of contract end.
Raw IP addressRetained only as needed to derive geolocation and support troubleshooting, then dropped/truncated within 90 days. Aggregate geolocation may be kept longer.
De-identified / aggregate readiness dataRetained for product and longitudinal analysis; contains no identifiers.
Public-site subscriber name/emailUntil you unsubscribe or after 24 months of inactivity.

How we protect information

  • Scan data is transmitted over TLS/HTTPS and stored encrypted at rest within AWS.
  • Access to scan data is limited to authorized TechReady staff under role-based access controls.
  • We practice data minimization — the institutional product is designed to collect no direct student identifiers.

No system is perfectly secure, but we use reasonable safeguards appropriate to the data and our size. We will comply with applicable breach-notification laws and notify affected institutions without undue delay.

Your choices and rights

  • Students: Because institutional scan data is controlled by your school, requests to access, correct, or delete it are handled through your institution. We support institutions in fulfilling those requests.
  • Public-site subscribers: You can unsubscribe or request deletion of your name/email at any time by contacting privacy@techready.io.
  • State privacy rights: Residents of states with privacy laws (e.g., California) may have rights to access or delete personal information. To exercise them, contact us; for institutional scan data we will coordinate with your institution. TechReady is not currently subject to the California Consumer Privacy Act (CCPA/CPRA); regardless, we honor the access and deletion choices described above for all users.

Cookies

The scan and public site use functional/session cookies needed to operate the service. We do not use third-party advertising or cross-site tracking cookies. The institutional scan page uses only functional/session cookies and carries no analytics or tracking tags.

Students and children

TechReady is provided to higher-education institutions for use by their students. The institutional scan is not directed to children under 13 and does not knowingly collect their personal information.

Where data is processed

TechReady operates in the United States, and institutional scan data is stored in U.S. AWS regions. We do not process data in the EEA or China; GDPR and PIPL are not in scope.

Changes to this policy

We may update this policy from time to time. Material changes will be reflected in the “Last updated” date above, and we will notify institutional clients of significant changes.
